TQ Total Quality OnSite

Terms of Service

Version 2026-09-01 · Privacy Policy · All policies

1. The service

The Total Quality OnSite application ("the App") is provided by Total Quality Building Services ("TQ") to building-management clients, TQ managers, and TQ field employees for managing cleaning operations: service requests, supply ordering, schedules, reports, inspections, work orders, proposal requests, surveys, and messaging.

2. Accounts and sign-in

Access requires an account issued or approved by TQ. You are responsible for activity under your sign-in, and you must not share it. Sign-in may require a one-time code emailed to you. You may additionally lock the App to your device's fingerprint or face; that check is performed by your device and no biometric data reaches TQ. Each sign-in records the App version and device platform it came from, so TQ can manage updates.

TQ may suspend or remove accounts. Versions of the App below the supported minimum cannot connect and must be updated first.

3. Acceptable use

The App is for TQ business operations. Do not use in-app messaging for private personal communication, do not upload unlawful content, and do not attempt to access another role's or another person's data, probe, disassemble, or interfere with the service.

4. Data collection and monitoring

By using the App you agree that TQ collects and analyzes usage data — screens visited and time spent, taps and navigation, feature usage, presence and sign-in records — and that messages sent through the App, including text and photos, are stored on TQ servers and may be read by authorized staff and analyzed, including keyword analysis, for service quality, operations monitoring, and dispute resolution. Message text is encrypted at rest, with its own key for each conversation, but TQ holds the keys; this is not end-to-end encryption. Each time TQ office staff open a conversation they are not part of, that is recorded. Managers read only conversations they are part of, unless a manager who is away lets one other manager read theirs, read-only and for at most 30 days — every such read is recorded too.

TQ office staff can message you in the App under their own name — each member of the office writes in their own conversation with you — and TQ may also send announcements to everyone, or to everyone in a role, for things like planned maintenance. Announcements are notices, not conversations.

The App also records the device and connection it runs on: the make and model of your phone, its operating system version, the App version, your language and time zone, and the internet address (IP) your phone connects from. This is kept as one record per device, updated each time you connect rather than added to — it describes what you are running now, not a history of where you have been. The full internet address is stored encrypted and can be read only by authorized TQ administrators; a coarse form of it (your network, not your device) is kept readable. All of it is deleted 180 days after a device last connects, and immediately if you delete your account.

Managers and field employees are asked separately whether the App may use their location, and may decline and continue using the App. Where granted, TQ stores the current position and a 90-day track history of reported positions, for on-site coordination; a manager's current position is also visible to other managers on the in-app team map. Clients are never located. Full detail is in the Privacy Policy, which forms part of these terms.

5. Administrator access

Authorized TQ administrators may access the App as your account for support and diagnosis, and may hide or correct individual items shown to you. These sessions are logged and actions taken during them are attributed to the administrator.

6. Work records

Requests, orders, schedules, reports, inspections, work-order activity, proposal requests, survey responses, and related photos created in the App are business records of TQ and may be retained, used, and disclosed as needed to operate and document the services. Photos are deleted automatically about 2 years after upload, and supply audit videos 1 year after upload; the records they belong to remain. A profile picture is not a work record and is the exception: it stays until it is replaced or removed, or the account is deleted.

7. Availability & changes

The App is provided "as is"; TQ may modify, interrupt, or discontinue features at any time. Offline submissions are held encrypted on your device and delivered when a connection returns, but TQ does not guarantee delivery of anything not yet received. TQ is not liable for indirect or consequential damages arising from App use to the maximum extent permitted by law.

8. Account deletion

You may delete your account in the App (Settings → Delete account); deletion takes effect after a 72-hour grace period during which it can be cancelled. Personal data is erased as described in the Privacy Policy; TQ business records and the security audit trail remain.

9. Changes to these terms

When these terms change, the App presents the new version and asks you to read it before continuing. Continued use after acceptance constitutes agreement. Acceptance is recorded with your name, role, version, and the date and time.
